This SMS Communications Privacy Policy ("SMS Policy") describes how Pacific Menopause handles information collected through text messaging (SMS) communications to and from our business phone number, [(808) 501-2299]. Scope: Inquiry Response Only
Our SMS service is used solely to respond to inquiries from prospective patients and members of the public. We do not use SMS for marketing campaigns, mass messaging, or promotional outreach. We do not initiate SMS conversations to people who have not first contacted us.
Communications with established patients — including appointment reminders, clinical messages, lab results, and care coordination — are conducted through our secure electronic health record patient portal, not through SMS.

Message Frequency
Message frequency varies and is conversational — we send messages only in direct response to your communications. Most inquiries are resolved within 1–5 messages.
Information We Collect Through SMS
When you text our business number, we receive:
Your mobile phone number
The content of the messages you send
Date, time, and metadata associated with each message
We use this information solely to respond to your inquiry, document the conversation, and direct you to appropriate next steps (such as booking an appointment or accessing our patient portal).

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All categories of personal information described in this SMS Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We share SMS information only with:
Our SMS service provider (Zoom Communications, Inc.), which transmits messages on our behalf under its applicable terms of service and, where required, a Business Associate Agreement.
Service providers who help us operate our practice (such as our practice management vendor), under written agreements that limit their use of the information.
When required by law, such as in response to a valid court order, subpoena, or legal process.
Protected Health Information (HIPAA)
Our SMS service is intended for general inquiries and is not a secure channel for transmitting protected health information (PHI). We discourage senders from including detailed medical information, test results, symptoms, or other sensitive health information in text messages.
If a sender includes health information in a message to us, that information becomes subject to our Notice of Privacy Practices. We will respond only to direct them to a secure channel (patient portal or phone call) and will not discuss specific medical details over SMS.
Standard SMS is not encrypted in transit between carriers and is not a secure form of communication. By texting us, you acknowledge that SMS communications carry inherent privacy risks.
Monetization
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Opting Out — STOP
You can opt out of receiving SMS messages from us at any time by replying STOP to any message we send. After you send STOP, we will send one final message confirming your opt-out, and you will not receive further SMS communications from us at that number. If you wish to resume communications, you may text us again or contact our office by phone.
Message and Data Rates
Message and data rates may apply. Standard messaging rates from your wireless carrier apply to all messages you send and receive. Check with your wireless carrier for details on your plan.
Supported Carriers
Our SMS service supports all major U.S. wireless carriers. Carriers are not liable for delayed or undelivered messages.
Eligibility
Our SMS service is intended for individuals 18 years of age or older. If you are under 18, please have a parent or guardian contact us on your behalf.
